Enhance your Events with Great PROMO!

  • Mar 31, 2022

Spring makes us all want to get out and connect, and with events returning, it’s time to make sure your PROMO cupboard is stocked and ready to help you make the most out of your event participation!  Whether you are an organizer or participant, promotional products help make the event (and YOU) more memorable for attendees.

Events are a great way to connect with your existing customers and meet new ones and PROMO giveaways are a great way to make those connections last! Imagine the difference between your logo on a sponsor board to sending your brand home with attendees.  Having your brand in their hands after the event will increase their ongoing connection with you and keep you top of mind!

Now, to truly make the most of your participation in these events, you'll want to have a PROMO plan.  Think about the following questions:

  • Which events and activities best suit your brand?
  • Are there causes or community projects you want to support?
  • Where are you most likely to find your current and potential customers?
  • What are your goals?  What would you like to accomplish from your participation?
  • What is your budget?
  • Is it better to have a smaller presence at many events or a larger presence at fewer events?

Once you've decided on the type of events and activities will best meet your goals, it's time to look at the type of PROMO that will provide the best return on your investment.

First things, first.  The basics.

Are you setting up a table, will you have staff at the event? Early investment in the tools to make your display professional and organized will have a long term effect.  Consider branded table covers, banners, flags and perhaps even your own tent. These items can be used for many types of events and make sure that your brand presentation is impactful, professional and memorable.

For staff participating in the event, consider branded apparel.  When your employees are easily recognizable and it helps to build trust with attendees.  Additionally, as your employees are participating in other aspects of the event, your brand is being seen by attendees.

Now, to giveaways.

The quality and thoughtfulness of your giveaway will go a long way to increasing your return on investment for the project.

You could give out the same thing you always do or the same thing as everyone else might give out but you're going to be more memorable and attract more people to your booth or activity if you have something unique. Let your Promotional Product Consultant help you here!  They are constantly getting information about new items, new decoration methods and neat ideas to help you stand out.

You can tell the success of your giveaways by the number you see in and around the garbage cans at the end of an event. Your goal is that the item goes home with your potential customer or gets used and appreciated right away (for consumables like food, tissues, wipes, etc.).

Default to getting the best quality smaller item than the least expensive bigger item.  For example, you CAN get earbuds under $5 but unless you're on a 4 hour flight, forgot your earbuds and really want to watch the movie, no one is going to use these.  You're better to get the coolest custom key chain, carabiner, magnet or other item than you are to spend that money on earbuds.  And make sure it's something useful to the audience you're giving it to - stickers are BIG right now with the under 30 crowd, not so much with the 50+ crowd.

Consider having a few different types of items to giveaway.  Maybe you have the low cost item like pens or mints for the people just going from booth to booth to see what's free but you also have a different item to provide those who engage with you or are in your target customer group.

Even if your goal is to educate attendees, dumping multiple flyers and brochures on them isn't likely going to be that effective.  You may still want to have these for those that want them but most people aren't ever going to read them (or want to carry them around with them).  Consider an item that has a QR code or link to go access the information - that way, they have something they appreciate and have access to your information when it makes sense to them.

Don’t forget to add your phone number, website or QR code.  If your brand is highly recognizable, you're main goal is brand awareness and ensuring attendees take note of your participation in the event, your logo may be enough. But if you’re new to the market or your goal is to connect with new customers, make it easy for them to know how to make that connection after the event.

The best giveaways work with the theme of the event, your brand, or brand messaging and the audience. For example, if you're attending an event for an environmental cause, give away something made from sustainable materials or a reusable item that replaces common one-use items.  Attending a sporting competition, consider items related to healthy lifestyles or the particular sport.

That said, sometimes you become aware of events without the time to plan and purchase PROMO specific to that event.  That's why it's a good idea to keep your PROMO cupboard stocked with some great basic giveaway items.  Having quantities of 2-3 different types of items under $5 mean that you won't miss out on these last minute opportunities.

Finally, for organizers.

If you’re an event organizer, early coordination with potential sponsors can help you with items that will enhance the event and offer your supporters better value for their sponsorship.  What if rather than having one sponsor board, your volunteers all wore t-shirts with sponsors listed on the back?  Not only would it ensure your volunteers are recognizable, but your sponsors also benefit from multiple impressions during the event (and even after the event)! PROMO can help give your sponsors better value for their support and better value = more sponsors!

What if each participant got something a souvenir item from the event? It could be a giveaway or an opportunity for fundraising.  Event memorabilia is great for events that will occur again (the swag bag or collection of medals or ribbons keeps them coming back) or single events (who among us hasn't purchased the concert t-shirt?). And many times, your sponsors can even help with the cost of these items because of the benefit to them of having their logo associated with your event.
